PRESIDENT: The president of the society is the CEO of the society. The visible duties include running of the monthly meeting, and presiding over board meetings. The office also generates monthly "President's Comments", theme open. The individual must have served on the board of directors for a minimum of one term.
Less visibly the president is responsible to supervise and administer the business affairs of the club, subject to the control of the board of directors. The direction and focus of the membership and Society is spearheaded to this position. The president is a visible manifestation Of the club, and represents the membership in the community. The position also entails press release work, speaking with business and other clubs within the community. The full scope of the position is ultimately determined by the individual selected by the membership. Only that person can determine how much time and effort she/he is willing to commit to the society.
VICE-PRESIDENT: The vice president is specifically responsible to manage and arrange the program for each of the monthly meetings, including the scheduling of speakers and presenters. The vice president shall anticipate, engineer, and supervise the technical requirements for all meetings. The vice-president shall select the categories for the slide competitions of the monthly meetings, to be announced in the January newsletter for the coming year. The individual should be available to attend board meetings and provide the GOBY editor and Webmaster with a brief introduction of upcoming entertainment for publication. This is one of the most critical positions in the club. The first visual interaction is during the prelude and during the presentation of the evening's entertainment. This officer is also responsible to reserve the auditorium one year prior to use by SDUPS, and schedule an alternate if the site should prove unavailable.
TREASURER: This individual is responsible for maintaining accurate and complete financial records. The treasurer deposits checks, pays bills, and balances statements of SDUPS funds. Treasurer collects and retains receipts for all expenses, and verifies that all expenditures were approved prior to releasing funds. A quarterly/yearly report is generated for internal use during board of directors meetings, or on request of the membership per our bylaws. A yearly budget is to be generated and recorded For publication in the goby. The treasurer should be available either in person or by proxy at all board/club meeting for disbursement or collection of funds.
ACTIVITIES: Provides membership with various interest related programs. Is responsible for scheduling officer's installation banquet, picnic, and holiday parties, along with other events that provides the membership learning opportunities and fun.
The quality and scope of activities is determined by the officer you elect. A monthly notice should be generated for publication in the goby and web page to notify the membership of upcoming events.
WEBMASTER: What is a WebMaster? The individual responsible for managing a specific Web site. A Web site is composed of individual Web documents named by home pages written in HTML. HTML means Hypertext Markup Language. It is a way to encode text documents to view not only color text and fonts, but see images, hear sounds and see movies. The WebMaster needs a basic understanding of client-server software and own or have access to a windows or MAC based computer system (with an ordinary text editor is sufficient or better yet, an HTML Editor), and a password and an account to a server that is connected to the internet and world wide web. The WebMaster should also have some basic image editing software. Images always need to be resized and cropped and have some copyright text on them. Members can have their very own GALLERY image page featuring 5 or 6 underwater images they have taken from anywhere in the world. Any text and personal biography may accompany the images.
The WebMaster needs to be familiar and have software to support E-mail, FTP, and be able to view web documents with a browser like Netscape. E-mail is a way to communicate with other internet users electronically. The WebMaster acts as a liaison for the society and an ambassador to rely important messages to the appropriate board members of the society. For example, if a user would like to join the society, the WebMaster makes sure that the user gets a new member form to fill in.
FTP is a communication software that is able to transfer files between your client (windows PC or Color Mac) and the server where your web documents are stored. Once your documents are encoded to display the text and embedded images, FTP is used to install the appropriate files to the server where other internet users can view and enjoy the documents as well.
The WebMaster should also have a basic understanding of file types. There are different file types for each kind of document. For example, text format is used for HTML documents, .gif or.jpg is used for image files, and there are many types of audio and movie files.
The WebMaster acts as an international communication officer of the society supporting the needs of the society and educating the public in the art and science of underwater photography. This is to big a job for one person. The WebMaster needs your help and suggestions and images and text in order to make our (SDUPS) web site the best in the world.

SECRETARY/HISTORIAN: Primary visible function is to oversee monthly slide competition. This individual tallies ballots for the yearly officer election along with monthly slide competitions. A permanent record of points earned by each member is maintained and recorded for use in determining the photographer of the year, along with correct competitional level based on points earned in the current and preceding years.
This individual is responsible for taking and transcribing minutes at each board meeting, for review by board members who were unable to attend.
Any correspondence generated by SDUPS is processed through this position. A scrapbook is updated and maintained for review by the membership.
MEMBERSHIP: This officer is responsible to keep an updated list of all paid members and their current addresses. He/she collects membership dues, records address information, and forwards this to the GOBY editor to produce mailing labels for the GOBY newsletter.
The dues are then forwarded to the treasurer for deposit. A double check system is kept to prevent mistakes.
DIVE-TRIP COORDINATOR: This individual is responsible for development and scheduling of SDUPS sponsored dive trips. He/she interacts with the business and brings a budget before the board of directors for approval. Once approved the coordinator is then responsible for notification af the membership as to the trip dates, costs, and other related items. This individual accepts deposits, keeps an accurate list of participants, creates a waiting list if demand exceeds space, and acts as intermediary should issues arise. The coordinator must try to make the trip self-sustaining; i.e., without additional funding from sdups. (all expenses paid by the participants) once the trip has occurred all funds collected are turned over to the treasurer with a concise listing of amount paid by whom. (This is especially helpful if a member cancels and forfeits the trip deposit). The destination of the dive trips are solely at the disgression of the coordinator as supported by the membership at large.
GOBY EDITOR: As the name suggests this position encompasses the production of our monthly paper newsletter, The GOBY. This person(s) formulates the layout, articles, and correspondence that is informative to the members of our society. At times this position needs to approach members to contribute items to the newsletter. All information contained is forwarded to the webmaster for inclusion on our homepage. The cost of production and mailing is absorbed by the club, but receipts must be kept for all expenditures.
This position needs an individual with good interpersonal and organizational skills, as he/she will be interacting with many different sources, and coordinating them to allow timely publication and variey within The GOBY.
In the past much of The GOBY was produced via computer, But this is not a necessity. A sincere interest in producing an exciting newsletter is the only requirement.
DIRECTORS: These positions are frequently the most sought after. There is no set duties asssigned to them, however, according to our by-laws should an officer be unable to fulfill their duties an at large board member must fill in until either an election selects a new officer or the elected member can resume his/her duties. I would ask that if you choose to run for this position that you be prepared to fulfill this obligation. In these uncertain times it is quite possible that you may be called upon to perform this function.
SDUPS Representative to the San Diego Council of Divers:
Though this is not listed as a official position, and maybe new to many of you, our council representative is an extension of our society. During the council meeting the representative (s) are to take notes and provide a brief written report for publication in the GOBY as to council related issues/events. Should a vote on a subject be required the representative will approach the SDUPS board of directors. The issues at hand will be discussed and a vote taken to determine SDUPS policy on any issue. The rep will not have autonomy to determine SDUPS position on any item.
The representatives name's will be listed under our officers and directors in The GOBY, and will be responsible to give a brief report during the monthly meeting.
Since our membership has expanded over the past year we Are now entitled to two (2) council representatives.
